Who we are
Roll the Guests is run by James and Finley, based in Kent, UK. We decide how your personal information is used, which makes us its "controller" under UK data protection law. You can reach us about anything in this policy at rolltheguests@gmail.com.
What we collect
- Enquiries. The details you give us on our form or by email: your name, email, phone number, event date, venue, how you found us and your message.
- Bookings. The details on your booking form, plus a record of what you've paid. We don't see or store your card details.
- Filming. The video and sound of guests who choose to be interviewed at your event.
Why we use it
- To reply to your enquiry and send you a quote, because you asked us to.
- To plan, film and deliver your booking, because we need to in order to carry out our agreement with you.
- To keep accounts and tax records, because the law requires it.
- To show short clips in our own marketing, only if you haven't asked us not to. Any guest can ask us to leave them out.
We never sell your details or use them for unrelated marketing.
Who we share it with
Only the services we need to run the business: our email provider, the service that delivers our enquiry form, the platform that hosts your private film link, and our accountant. Each only handles your details to provide that service to us.
How long we keep it
- Enquiries that don't become bookings: deleted after 12 months.
- Booking and payment records: kept for 6 years, as tax law requires.
- Raw, unedited footage: deleted 12 months after we deliver your film.
- Your finished film: kept until you ask us to delete it, so we can help if you lose your copy.
Your rights
You can ask us to show you the information we hold about you, correct it, delete it, or stop using it. Guests can ask us to remove their clip before the final edit. Email rolltheguests@gmail.com and we'll respond within one month. Some booking records must be kept for tax, and we'll tell you if that applies.
Cookies
This website doesn't use tracking or advertising cookies, and we don't run analytics. Our fonts load from Google Fonts, which means your browser connects to Google's servers. If this changes, we'll update this page and ask for your consent first.
Complaints
If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
